As a founder and manager of the Hive5 coworking space, Gaël Van Gijsegem knows only too well the real difficulties facing freelancers and SMEs. Making their lives easier is the motivation behind the Hive5 coworking space. “Right from the start, I tried to provide rather more than just a friendly and dynamic working environment. My idea was to create a real community, by organising conferences and events reserved for our members, and by multiplying the opportunities for people to make contacts. However, I think that we have to go even further – we should be helping them in their everyday work routines.”
Still doing all your invoicing manually? Far too time-consuming!
When the Hive5 initiative launched, it did not take Gaël long to realise that the chore of managing payments manually was rapidly becoming exceedingly complicated. “Like everybody else, I started out using Excel spreadsheets. That meant that nothing was automated, not even serial numbering for invoices! That’s OK if you have just a few clients, but as soon as you acquire more than a dozen clients, you end up tied up in knots. So, I thought another solution had to be found. Right at that moment, it just so happened that one of the Hive5 community members was working on software development for a management tool!”
Saving time means saving money too
When trying out this management tool, Gaël discovered that he was making incredible time-savings. “I gained more time and peace of mind too! Just being able to click once to send out my invoices has changed my life. It’s even easier than saving an invoice in PDF for sending out as an email attachment.” A further system advantage is that sending out payment reminders couldn’t be easier, while payments and invoices can be reconciled by integrating electronic bank account statements. “Doing that meant we could automate the sending of reminders!”
Our goal is to help our community
Finally, when sitting round the table with other Hive5ers, Gaël discovered that he was certainly not the only one to have torn out his hair over invoicing and tracking payments. “All our coworkers had the same problem. But all the time we spend on admin cuts down on our time we can devote to our clients. That’s when I realised that offering this toolkit to our coworkers could be a good way of giving them a helping hand to boost their business. Even more so as the system also includes a useful commercial toolkit for price offers and project management; absolutely perfect for setting up without paying the earth.” That was the inspiration for designing Hive5 Business Tools.
