5 tips and tricks to manage remote employees

Zlata Rybchenko is the founder of Spacefeeling, a Belgo-Ukranian interior design company. The company currently employs 16 people in Belgium and Ukraine. Managing teams across 2 countries is challenging but not impossible. In need of advice? Discover Zlata’s tips and tricks.
1. Establish a trusting relationship with someone on site
Before you do anything, start by finding the right person to help you on site. Zlata’s Office Manager in Ukraine is very useful. Thanks to her, the founder of Spacefeeling can connect to her team in Ukraine more easily, in general but also in specific areas: for instance, a lot of the recruitment process goes through her.
2. Schedule regular meetings
There is a tradition at Spacefeeling that is now well established. All employees know that every day at 10 a.m. they have a meeting on Google Meet. This ritual allows everyone to know what the team is doing during the day and what they did the day before. The meeting doesn’t last more than 30 minutes and is a great way for everyone to start the day. In addition, if any of the team members has a bigger problem, they know they can bring it up at a longer weekly meeting. Finally, Zlata schedules a third meeting once a month. Everyone can then share ideas and speak about their successes and failures.
A few months ago, the Spacefeeling team would only (virtually) meet once a week. As a consequence, the team was less motivated and involved in the projects and the company’s life. It all changed when Zlata implemented the Agile methodology. It’s a great match for Spacefeeling!
3. Always be transparent and involve your team members
If you work with a remote team, chances are you want to know what they are doing. And you’d be well within reason! However, you too have to be transparent about what you are doing. “Ever since we started these daily meetings, the team has been more motivated, more invested and more involved in all of our projects,” explains Zlata, who does not want to make any distinction between her and her employees. What matters is to build one strong team with strong bonds, despite the different locations.
4. Use online team collaboration tools
There are plenty of tools in the vast sea of the internet, so you are bound to find the perfect match for your business. At Spacefeeling, the main tools are:
– Slack, for daily conversations and quick questions.
– Google Calendar and Google Meet, for meetings.
– A cloud for filesharing.
– Jira, a complete project management tools that allows agile sprints, for easier management of teamwork.
5. Organise team-building sessions
Do you want to have a strong team? Then encourage your employees to connect with each other. Team building is an excellent way of bonding with each other… and yourself! At Spacefeeling, the Belgian and Ukranian teams meet twice a year for a team building session. Last time, they went to the Milan Fair: a good opportunity to combine an inspirational trip with bonding. And that’s not all – the Ukrainian team, for instance, plans a games night once a week. “It’s a great way to bring all the team members together, so they can get to know each other outside of a working environment,” explains Zlata.
Remember: if you manage a remote team, simply using a few tools will not be enough to help you. What truly matters is to not forget that you are working with people. Your team needs to be inspired, motivated, invested – and they need to feel supported.
